TCS can be contacted through our website on WWW.thornwoodcaravanstorage.com and through this site all our contact names, addresses and contact Nos are available. we are a partnership of MR CJH Mackie & Mrs EJ Mackie.
3.WHAT INFORMATION WE HOLD
“Personal information” only relates to you the individual or husband and wife or partner. This is gathered when you complete a storage contract with us only.
The personal information is as follows;
— your title
— your surname —your first name
—contact telephone Nos
—details of your stored units including vehicle registration Nos, chassis Nos or CRIS Nos
—details of any other ancillary items stored eg gas bottles.
—details of a clients visit to the storage facility in diary format and via the CCTV system.
4.WHAT WE USE INFORMATION FOR
—For the collection of storage fees.
—For verification and audit purposes.
—And to contact a client about their property and to advise the client on changes to the rules of the site, changes to the storage fee and lastly to advise a client of the services we offer new or existing as laid out in the TCS storage contract.
5.OUR LAWFUL BASES FOR PROCESSING PERSONAL INFORMATION
‘contract’- to ensure the contractual obligations are met to ensure the proper administration of the business for the client and the proprietors.
‘legitimate interest’- to use the information held in ways the client would reasonably expect to keep them informed. And to facilitate the correct running of the business.
‘legal obligation’- to be able to share personal information, if required by law ie such as health and safety, the police, tax laws, human rights and any other body or organisation.
‘vital interest’- to be able to divulge sensitive information in the event of an emergency eg a medical emergency.
‘consent’- the use of personal information to promote the business which may include direct marketing only when the individual has given consent.
6.WHERE WE GATHER PERSONAL INFORMATION ABOUT YOU FROM
We only gather information from the client directly and from no other source and only that information which is necessary to complete the storage contract.
The CCTV system will obviously record any any movements on and off the site.
7. SHARING YOUR INFORMATION WITH THIRD PARTIES
This is only done when it is the express wish of the client for us to do this, or if we firstly obtain the permission of the client to do so. And this is done whenever the issue might arise ie not on a continual basis so that the client knows exactly who and why the information is being shared on any particular occasion. This is to benefit the client and allow them to get the maximum benefit from using our storage facility and services provided therein.
8. HOW WE KEEP YOUR PERSONAL INFORMATION SAFE
—All clients information is stored safely on hard copy and once a client has quit the
storage site the personal information held is destroyed. —any CCTV images are held for a week and then wiped.
—any email correspondence is not shared and kept private
—any postal correspondence is likewise kept private
9.HOW WE KEEP YOUR PERSONAL INFORMATION UP TO DATE
We rely on the client to keep us supplied with their correct details, post code lookup can be used to ensure that we have the correct address, and a utility bill plus a current passport/ driving licence may be requested in certain circumstances as a proof of identity. Clients are encouraged to contact us on email@example.com or write to us or speak to us directly to correct any incorrect information held.
10.HOW LONG WE RETAIN PERSONAL INFORMATION
For only as long as necessary as detailed in section 8 above.
11.CUSTOMERS CHOICES AND RIGHTS
The client has certain rights by law, which are;
—access, the client has a right to a Subject Access Request (SAR) to see the personal information held. We would make this available within 30 days of the request.
—Rectification, the client has the right to ask us to correct any errors in the personal information held.
Objection, the client has the right to make an objection (based on their specific situation) as to how we are processing/profiling their personal information.
Erasure, we may have to retain some information on some occasions for legal record keeping purposes on some occasions, and possibly upon request by say the police, but we will endeavour to inform the client wherever possible when this is the case.
12.THE INFORMATION COMMISSIONER’S OFFICE (ICO)
Thornwood Caravan Storage is fully registered with the ICO and is compliant in doing so especially in its use of its CCTV system.
We also hold an SSL Certificate and this makes our website encrypted, so any potential customer or existing customers information is protected when they use our system via our website etc.
13.CHANGES TO THIS PRIVACY NOTICE.
We may have to make changes to this privacy notice from time to time, either by requirement of the law, or for our own reasons. If we make any significant changes we will inform you the client as and when this occurs. This privacy notice is current as from 25th
